Your station guide.

Set up · 15 minutes

  1. Text your check-in.

    Text Becky or Trey: “Station 7 — [your name] — onsite.” Get your shirt from the pallet.

  2. Set tables behind the curb.

    Unpack the pallet. Put water and Gatorade tables 10–20 feet apart. Set out pitchers, cups, ice and kiddie pools. Keep everything off the road.

  3. Gloves on.

    Fill the coolers first if needed. Before you begin touching pitchers or cups, put on gloves. Gloves and other supplies are in the storage boxes.

  4. Keep all jugs and coolers full.

    Refill coolers quickly from the blue water monster’s large spigot, then use pitchers to fill rows of cups. Stack filled rows with cup boards. Never fill cups one at a time from small spigots. If needed, dip cups directly into an open cooler, but pitchers are faster. Follow the Gatorade bottle directions. Small coolers hold 5 gallons, large coolers hold 10, and each gallon is 128 ounces. Measure, mix, and taste—it should taste like store-bought Gatorade, not diluted. Call Trey or Becky with questions or if you need anything.

How/what to serve

Water & Gatorade

Stay behind the curb. Call “Water!” or “Gatorade!” Hold out a cup and let the runner take it. Pinch it slightly and move your hand with the runner. Don’t chase runners or force a cup.

Ice

Call “Ice!” and hand it out when requested. Unopened ice bags are usually stored in the kiddie pools. Fill cups by pouring or scooping from an open bag, or pour ice into a clean, empty cooler and scoop from there. Never pour loose ice into a kiddie pool. Keep the ice area clean and tidy.

Refill & tidy

Split jobs between filling cups, handing out water, Gatorade and ice, and collecting trash. Keep the tables stocked. Call Becky or Trey before supplies run out. Direct runners to restrooms and report low toilet paper.

Get help.

Keep people and equipment off the road. Watch for cars; the runner lane may not be active until 7 AM. For medical help, get the runner’s name and bib number. For a life-threatening emergency, call 911.

Clean up & check out

Do not tear down your station until a staff member gives you permission. If you think the last runner has passed, call Becky or Trey to confirm. Once approved, empty the coolers, pick up all trash, and tie and stack the bags. Return all equipment to its pallet. Our crew will wrap and load everything later. Staff can sign or provide your hours sheet on-site, or you can email us for verification later. When finished, you may leave or visit the post-race area at Smart Financial for food if none was delivered to your station during the event.
